Who we are
JobSense is run by AXIS WORKPLACE TECHNOLOGY LTD, a company registered in England and Wales (company number 16374487), whose registered office is at 450 London Road, Portsmouth, England, PO2 9LD. We're registered with the UK Information Commissioner's Office (ICO). For anything about your data, email hello@axis-it.co.uk.
Two kinds of data, two roles
JobSense is software that businesses (such as electricians, security installers and IT engineers) use to run their jobs. So we handle data in two roles:
- Our customers' account data: the businesses that use JobSense and the people who sign in to it. For this, we are the controller.
- Data a business puts into JobSense about its own customers: names, contact details, addresses, job notes, photos, videos and signatures. For this, the business is the controller and we are its processor. We only use it to provide JobSense to that business, under our Data processing terms. If you're a customer of a business that uses JobSense, please contact that business first; we'll help them respond.
What we collect and why (as controller)
| Data | Why | Legal basis |
|---|---|---|
| Business name, workspace address, trade, country, owner's name and email | To set up and run your workspace | Contract |
| Staff names, emails and roles | So your team can sign in and be given jobs | Contract |
| Sign-in details from Google (name, email) | To sign you in. We never see your Google password | Contract |
| Billing details (company name, billing address, VAT number, and the last four digits of the card). Card numbers are held by Stripe, not us | To charge for your plan and keep accounting records | Contract, legal obligation |
| Messages you send us and feedback from the app | To help you and improve JobSense | Legitimate interests |
| Technical logs (pages requested, errors, IP address, browser), kept for 90 days | Security, fixing problems and preventing abuse | Legitimate interests |
| Email and texting settings you add (passwords and tokens are stored encrypted) | To send messages from your own accounts | Contract |
We don't sell data, don't use it for advertising, and don't use tracking or advertising cookies. We keep invoices and billing records for six years, as UK tax law requires.
Cookies
We only use cookies that are needed for the service to work, such as keeping you signed in and protecting forms. This website, getjobsense.com, uses no cookies at all. See our Cookies page.
Who we share data with
We use these providers ("sub-processors") to run JobSense. Each is bound by a contract to protect the data:
| Provider | What for | Where |
|---|---|---|
| Hostinger | Web hosting and databases | European Union |
| Backblaze | Storing photos, videos, documents and signatures (encrypted) | EU (Amsterdam) |
| Stripe | Taking payments for plans, and card payments a business's customers make to it | EU and USA |
| SMTP2GO | Sending emails for businesses that haven't connected their own email account | EU and other regions |
| Twilio | Sending text and WhatsApp messages | USA |
| Sign-in with Google | USA and EU | |
| Ideal Postcodes (postcodes.io) | Finding the map position of UK postcodes | UK |
| OpenStreetMap | Map images in the app (your browser fetches them directly) | EU and UK |
| A business's own email or texting provider | When a business connects its own account | Chosen by the business |
Where data goes outside the UK or EU, we rely on an adequacy decision, the UK International Data Transfer Agreement or Addendum, or the EU Standard Contractual Clauses.
How long we keep data
- Workspace and job data: while the business uses JobSense. When a workspace is closed, we delete its data within 30 days; backups roll off within a further 35 days.
- Billing records: six years, for tax.
- Technical logs: 90 days.
Your rights
You can ask us to see the data we hold about you, correct it, delete it, restrict or object to how we use it, or give you a copy in a portable form. Email hello@axis-it.co.uk and we'll reply within a month. If you're unhappy with how we've handled your data, you can complain to the ICO at ico.org.uk, or to your local data protection authority.
Security
Everything travels encrypted (HTTPS). Each business's data is kept in its own separate database. Photos and files are kept in a private, encrypted store and only shown to people allowed to see them. Passwords and tokens for connected accounts are stored encrypted. Staff usually sign in with Google, and support access is logged, time-limited and read-only unless the business allows more.
Changes
If we change this policy in a way that matters, we'll tell workspace owners by email before it takes effect.
